Inventory Management

Track stock levels across warehouses

EvoDax includes inventory management to track stock levels, movements, and ensure you have products available for delivery.

Inventory Overview

Go to Inventory in the sidebar to see:

  • Current stock levels by warehouse
  • Low stock alerts
  • Recent movements
  • Inventory value

Adding Inventory Items

Initial Setup

  1. Go to Inventory
  2. Click Add Item
  3. Select the product
  4. Choose the warehouse
  5. Enter quantity
  6. Set reorder levels (optional)

From Products

  1. Go to Products
  2. Open a product
  3. Click Manage Inventory
  4. Add quantities per warehouse

Stock Levels

Track key metrics for each item:

Inventory Movements

Stock changes are tracked as movements:

Movement Types

  • Receive - Stock coming in
  • Ship - Stock going out (deliveries)
  • Adjust - Corrections (damage, count)
  • Transfer - Between warehouses
  • Return - Customer returns

Recording Movements

  1. Open the inventory item
  2. Click Record Movement
  3. Select movement type
  4. Enter quantity and reason
  5. Confirm

All movements create an audit trail.

Low Stock Alerts

Get notified when stock runs low:

Setting Reorder Points

  1. Open inventory item
  2. Set Reorder Point (e.g., 50 units)
  3. Set Reorder Quantity (e.g., 100 units)

Alert Configuration

  1. Go to Settings > Notifications
  2. Enable Low Stock Alerts
  3. Set recipients
  4. Choose alert threshold (at point, 10% above, etc.)

Stock Takes (Cycle Counts)

Verify physical inventory matches system:

Full Stock Take

  1. Go to Inventory > Stock Take
  2. Click New Stock Take
  3. Select warehouse
  4. Print count sheets
  5. Enter actual counts
  6. Review variances
  7. Apply adjustments

Cycle Counting

Count a portion regularly:

  1. Select items to count
  2. Count and record
  3. Investigate variances
  4. Repeat with next section

Inventory Reports

Access from Reports > Inventory:

  • Stock Levels - Current quantities
  • Movement History - All changes
  • Valuation - Inventory value
  • Turnover - How fast items sell
  • Low Stock - Items below reorder point

Integration with Orders

When orders are created:

  1. System checks availability
  2. Stock is reserved (if enabled)
  3. Upon shipment, stock is deducted
  4. Insufficient stock triggers alerts

Inventory Reservation

Configure in Settings:

  • Reserve on Order - Stock reserved immediately
  • Reserve on Confirm - Reserved when confirmed
  • No Reservation - Manual tracking only

Best Practices

  1. Regular counts - Verify accuracy monthly
  2. Investigate variances - Don't just adjust
  3. Set realistic reorder points - Based on lead times
  4. Use batch/lot tracking - For expiring products
  5. Review reports - Spot trends and issues
