Capture and manage delivery proof

Proof of Delivery (POD) provides documented evidence that a delivery was completed successfully. EvoDax supports multiple types of proof capture through the driver app.

Types of Proof

Signature

Digital signature captured on the driver's device:

  • Customer signs on screen
  • Name is recorded
  • Timestamp included

Photo

Photographic evidence of delivery:

  • Package at doorstep
  • Goods in customer's location
  • Condition documentation

PIN Code

Verification code shared with customer:

  • Customer provides PIN to driver
  • Confirms right person received delivery
  • Useful for secure deliveries

Notes

Written confirmation:

  • Driver comments
  • Special circumstances
  • Handover details

Capturing Proof (Driver App)

When a driver arrives at a delivery:

  1. Open the delivery in the driver app
  2. Tap Complete Delivery
  3. Select proof type required
  4. Capture the proof:
    • Signature: Customer signs on screen
    • Photo: Take picture of delivered goods
    • PIN: Enter customer's code
  5. Add any notes
  6. Confirm completion

Viewing Proof of Delivery

From the Orders Page

  1. Find the completed order
  2. Click to open details
  3. Scroll to Proof of Delivery section
  4. View signature, photos, and notes

From the POD Page

  1. Go to Proof of Delivery in sidebar
  2. Search by order number, customer, or date
  3. Click to view full proof record

From the Customer Portal

Customers can view their own POD:

  1. Log into customer portal
  2. Find the order
  3. Click View Proof

Configuring POD Requirements

Set what proof is required per order or globally:

Global Settings

  1. Go to Settings > Delivery
  2. Under Proof of Delivery:
    • Enable/disable signature requirement
    • Enable/disable photo requirement
    • Set minimum photos required
    • Require recipient name

Per-Order Settings

For specific orders:

  1. When creating/editing an order
  2. Under Delivery Options
  3. Select required proof types

Photo Guidelines

For quality proof photos:

  • Clear and focused - No blurry images
  • Show the package - Goods clearly visible
  • Include context - Doorstep, building, or location identifier
  • Good lighting - Avoid dark or overexposed shots

Drivers can take multiple photos per delivery.

Disputes and Issues

When delivery is disputed:

  1. Go to the order's POD record
  2. Review signature, photos, and timestamp
  3. Check GPS location at capture time
  4. Review driver notes
  5. Contact customer with evidence

Reporting

Generate POD reports:

  • Daily completion summary
  • Missing POD alerts
  • Photo quality metrics
  • Signature verification rates

Access from Reports > Proof of Delivery.

Best Practices

  1. Require signature for high-value - Always for expensive items
  2. Photos for "safe place" deliveries - When customer isn't present
  3. Train drivers - Ensure quality proof capture
  4. Set up alerts - Know immediately if POD is missing
  5. Archive regularly - Export POD records for compliance
